We all have only 24 hours in a day and a lot to be done and accomplished. What exactly is needed to manage time and be productive? The truth is you can’t always follow a rigid time table. Managing your time effectively is an art. The sooner you master this art, the better it is for you. There are many ways to do that. I have compiled a list of 8 ways which may help you a lot.
1. Set daily goals.
Set goals for yourself and strictly follow them. Set deadlines for yourself to do important things. Identify the most important work, and do it first. This will not only decrease your work load but will also give you a sense of satisfaction and will motivate you.
Once you finish the important tasks, you won’t regret enjoying your time or even not doing much rest of the day.
Whatever work you do, you have few things that need to be done daily. Like, for a blogger the most important work is to write. It’s best to make it a habit to do important work daily. Once it becomes your habit, you won’t procrastinate and it would save a lot of time.
Set reminders for important things. This way you won’t miss any important work. It’s very important to have a schedule for everything and then proceeding. This way, you will get the maximum output.
“Goal setting should be part of your daily and weekly routines and should not be based on a calendar year or month.”
2. No to social media.
These days social media is one of the biggest distractions in our lives. Social media addiction can be very dangerous. It wastes a lot of our time. Many of us tend to waste time on social media in spite of having a lot of better things to do.
If you limit the time spent on social media, you will be able to save a lot of your time and you can be more productive. Simply un-install or hide all the applications which distract you or kill your valuable time. Use them only if you use them for business purposes.
Using 2-3 social platforms at most is fine. Kill your urge to be active on every other social media platform. Don’t be controlled by social media. Browsing your news feed can be very addictive. So just stay away from social media during your work. The best way is to reward yourself by checking them, once you are done with your work, but not in between.
“It takes discipline not to let social media steal your time.”
It’s best to meet people face to face whenever possible. Instead of using Facebook or Instagram, go out and talk to people, make friends. You might meet some of the best people who can teach you a lot.
3. Remove distractions.
Try to free yourself of all the distractions. When you are working, reading or doing any work, learn to keep your phone away from you. It’s not always necessary to answer every phone call while you are busy. Keep your phone on silent mode.
Stop doing things which are not going to benefit you. Just ask yourself if the thing that you are doing now is doing any good for you. If your answer is no, just stop doing that damn thing.
Remove all forms of distractions from around you, be it television or anything. Scrolling Facebook, Twitter or watching TV can reduce your productivity. If you work from home, have a separate room for work where there are no distractions.
Even when you are searching the web, try not to open too many windows. Just focus on the task at hand. Find out the irrelevant things and stop doing them.
If you watch TV too much, just stop watching it or lower the time. Believe me, you will be surprised by the results. You will have more time in hand to do better things. If you think TV is distracting your work, just remove it. Instead, start reading books.
“By prevailing over all obstacles and distractions, one may unfailingly arrive at his chosen goal or destination.”
4. Be Organised.
Being organized will save a lot of your time. When you sit to work, have everything you need with you so that you are not distracted in between. Organize your workspace.
Have a fixed time for doing all your important things. Set deadlines for important works. You can also keep a to-do list. Don’t forget to give time to physical activities like walking or swimming.
Meditation and self-exploration should also be a part of your daily routine. These do not require much time but are essential.
Make a time table and follow it. There are always cases in which following the time table might be very difficult. So, the solution is to create a flexible time table that you can follow and keep it simple.
If you work from home, have a separate place for yourself where you can concentrate on your work. Make a spare room as your office where there are no distractions and you can focus completely and be productive.
“I’m so organized. I never screw up. I’ve done it maybe twice before. I check my calendar seven times a day.”
5. Learn to say NO.
Don’t say Yes if you want to say no. Don’t feel guilty for saying no to others. If you feel that saying no will be good for you, then it is best to do so. It is perfectly fine to be selfish sometimes in life and do things for your happiness.
Be direct. If you want to say no to someone, be straight forward. Keep it direct and simple. Make yourself familiar with sentences like, “I am sorry but I can’t help you now.” and “Talk to you later.”
Be confident in doing so and don’t apologize more than it is necessary. Most things are not as important as fulfilling your dreams. It is important to prioritize things in life.
While you are doing important things, don’t answer unnecessary phone calls or emails. Rather answer them after you finish your work. Be true to yourself and know what you really want and what you don’t.
“I’ve had to learn how to say ‘no’ to offers.”
6. Work smartly.
It’s true that hard work is needed everywhere, but in order to be a massive success, you need to work smartly. Smart work takes less time. Smart work is about taking decisions logically and smartly. It’s about making smart choices.
At the same time, you can’t ignore the fact that hard work is of utmost importance. Every successful people you see today has gone through many ups and downs during their journey. They worked really hard to be what they are. Hard work and smart work actually go hand in hand.
Never fear to make mistakes, but be smart enough to quickly learn from your mistakes.
There’s a famous quote which says, “Hard work beats talent when talent doesn’t work hard.”
Try to be better than yesterday. Try to be a better person every day, even if you improve yourself by 1% every day, you will be a completely changed individual within a year.
Also, we tend to waste a lot of our time in waiting rooms, queues and many other places. You can use this time for activities like reading, etc. Find things that you can do during these times.
7. Do things that are really important.
Do things that are really important for you. Do the most important things first. Before committing to any work, just ask yourself if it will make you happy or will it be beneficial for you financially or in any other way.
Cyril Northcote Parkinson, a famous British historian said, “Work expands to fill the time available for its completion.” This is also known as Parkinson’s law. He has rightly said so!
The best way to save your time is by setting strict deadlines for yourself. This will ensure that you finish your work on time. If you start early, you might end up spending all your time doing that thing, so you can also save a lot your time by starting a bit late.
Check your urge to attend those useless weekend parties. Believe me, they won’t take you anywhere. Set your priorities right. Your future is more important than such nonsense.
Devote your entire focus on the task at hand. Concentrate on one thing at a time and give your 100% to it.
“Write down the most important things you have to do tomorrow.”
8. Stop doing pointless things.
You should be too busy in building yourself up that you don’t have any time to do pointless things.
You should have your goals clearly defined so that you can focus on those things that really matter. Stop doing things that don’t make you happy, teach you or get you money.
As I mentioned earlier, partying on every weekend is a pointless thing to do. Instead, you must be working at that time to make your dreams come true.
You have dreams. Before making a choice or doing anything, ask yourself if it will make you better or will it take you a step closer to your goal. Have just one aim and do things accordingly.
“Nothing is less productive than to make more efficient what should not be done at all.”
It’s better to do lesser things that create more value, rather than doing more things that are of no use.
